How to choose fire extinguisher inspection software (a facility manager's guide)

First, which side are you on?

The category is confusing because the same phrase, "fire extinguisher inspection software," is used for two completely different buyers.

Fire protection contractors service hundreds of customer sites. They need scheduling, route optimization, technician apps, deficiency quotes, invoicing, and reports to hand to the customer. Products in this group include Inspect Point, Uptick, ServiceTrade, BuildingReports, ZenFire, and Fire Inspect Hub. They are excellent at that job and priced accordingly (often quote-based, annual contracts, per technician).

Facility operators own the buildings and are legally responsible for the monthly inspection and for keeping records. They need to know what is due, make it easy for whoever is on shift to do the check correctly, and produce records on demand. That is a much narrower problem. FireGuard is built for this side.

1. Per-extinguisher record. Each unit has its own history, type, size, location, and due dates. A stack of completed forms is not a record you can defend.

3. QR or barcode scanning. Scanning proves the inspector stood at the unit and pulls up the right record. Avoid systems that require a proprietary scanner; a phone camera is enough.
4. The checklist built in. NFPA 10 §7.2.2 items as tap-through steps, with pass, fail, and notes. The checklist should train a new inspector by itself.
5. Photo capture. A picture of the gauge and seal ends arguments a year later.
6. Offline operation. Mechanical rooms and parking decks have no signal.
7. Reports. One-click PDF for the fire marshal, insurer, or OSHA: current status, overdue list, per-unit history, annual summary.
8. Annual, six-year, and hydrostatic tracking. The monthly grid is the easy part. The unit eight years past hydrotest is what gets cited.
9. Unlimited users. Per-seat pricing discourages letting the night shift inspect. The unit of value is the extinguisher.
10. Export. Your records should leave with you as CSV or PDF at any time.

Questions to ask any vendor

• Is pricing per user, per extinguisher, or per site? What happens at the limit?
• Can I start without a sales call and import my existing list?
• Does it work offline and on both iOS and Android without an app-store install?
• How long are records retained, and can I export everything?
• Does it track six-year and hydrostatic dates by extinguisher type?
• Who do I talk to when something breaks?
